HaloScore Privacy Policy
Version 1.0, effective October 23, 2026
Effective: October 23, 2026 · Version 1.0
HaloScore LLC ("HaloScore," "we," "us") measures how AI search engines present apartment communities and other properties, and sells that measurement to the businesses that own, manage or market them. This policy explains what personal information we collect, how we use it, who we share it with, and the choices you have. It applies to haloscore.ai, our order form at app.haloscore.ai, the reports we deliver, and the emails we exchange with you.
1. The short version
- We are a business-to-business service. The personal information we hold is mostly the work contact details of the people who order, receive or ask about our reports.
- We do not collect information about renters or residents, and we ask you not to send it to us.
- We do not sell personal information, and we do not share it for advertising.
- Card and bank details are handled by our payment processor, Stripe. We never see or store full card or bank account numbers.
2. What we collect
Information you give us
- Contact details: your name, work email address, phone number (optional), company and job role, when you fill in a form on haloscore.ai, start or complete an order, or email us.
- Business and property information: the property's name, website and address, its market area, the competitors you name, facts about the property (for example its pet policy, parking and unit types), what you want the property to be known for, and any searches you ask us to run. This is information about a business, not about you, but it can arrive alongside your contact details.
- Order and billing details: the plan and add-ons you choose, the amount paid, your billing name and address, and a business tax ID if you give one. Stripe collects your card or bank details directly; we receive a confirmation of payment and limited details such as the card brand.
- Your acceptance of our Terms: when you accept the Terms of Service at checkout, we record the version you accepted, the date and time, your name and email, and the IP address and browser your acceptance came from, so we can show what was agreed.
- Report recipients: the names and email addresses of the people you ask us to send reports to.
- What you enter into our forms: our order form saves each page when you click Continue, even if you do not finish the order, so you can pick up where you left off and so we can follow up about an order you did not finish. The forms on haloscore.ai save what you send when you submit them. We also keep a one-way fingerprint of your IP address, only to stop automated abuse of the forms.
Information collected automatically
- Report links: when a report link we sent is opened, we record which link and which file was opened, and when. We do not record your IP address or browser details for report views.
- Our website: haloscore.ai is hosted by Squarespace, which may set cookies and collect standard usage information (such as pages viewed, browser type and approximate location) to run the site and provide basic visitor statistics. Squarespace's own privacy policy describes its practices. Our order form at app.haloscore.ai does not use advertising or tracking cookies.
Information we collect from public sources
To produce an assessment we read publicly available information about your property and its competitors: their websites, listings, reviews and map entries, and the answers AI search engines give to renter questions. This is information about properties and businesses. It is not used to identify or profile individual people.
3. How we use it
- To deliver what you ordered: run the assessment, monitoring and re-assessments, prepare and send reports, and hold your results consultation.
- To communicate with you about your order, your reports, renewals and support.
- To take payment, keep accounting records and meet tax and legal obligations.
- To improve our methodology and publish research, using data in aggregated and de-identified form that does not identify you (as described in our Terms of Service).
- To remind you, by email, about an order you started and did not finish: at most two reminders, the second a week after the first. Every reminder has a link to unsubscribe, which takes effect at once.
- To send you occasional updates about HaloScore if you are a customer or have asked to hear from us. You can opt out at any time by replying to any such email or writing to us.
- To protect our service, our customers and ourselves, and to enforce our Terms.
4. Who we share it with
We share personal information only with the service providers that help us run HaloScore, under agreements that limit their use of it to providing their service to us:
- Stripe, which processes payments.
- Squarespace, which hosts haloscore.ai and its forms.
- Google Workspace, which hosts our email.
- Resend, which delivers the emails our system sends.
- Vercel and Supabase, which host our order form, our reports and the database behind them.
- Our customer relationship and bookkeeping tools, and our professional advisers (such as accountants and lawyers) when needed.
To measure your property we send questions to AI search engines, including those provided by OpenAI, Google and Anthropic. Those questions are about properties and places, in the words a renter would use. We do not put your personal information in them.
We may also disclose information if the law requires it, to protect our rights or the safety of others, or to a buyer or successor if HaloScore's business is sold or reorganized. As our Terms say, we may list your company's name and logo as a customer unless you ask us not to.
We do not sell personal information, and we do not share it with third parties for their own marketing or for cross-context behavioral advertising.
5. How long we keep it
We keep personal information for as long as we provide the service to you and for a reasonable period afterward to handle renewals, questions and disputes. We keep order, payment and acceptance records for as long as tax and accounting rules require, generally seven years. When we no longer need information, we delete it or de-identify it.
6. How we protect it
We use encrypted connections, restrict access to the people and systems that need it, and choose service providers with strong security practices. No system is perfectly secure, so please contact us right away if you believe information you shared with us has been put at risk.
7. Your choices and rights
You can ask us to show you the personal information we hold about you, to correct it, or to delete it, by emailing support@haloscore.ai. We will respond within a reasonable time, and within any period the law sets. We may need to keep some information to complete an order, meet legal obligations or resolve disputes, and we will tell you if so.
California residents. We do not sell personal information or share it for cross-context behavioral advertising. If you are a California resident, you may ask us what personal information we hold about you and how we use it by emailing support@haloscore.ai.
Do Not Track. Some browsers send a "Do Not Track" signal. Our order form does not track you across other websites, so it treats every visitor the same whether or not the signal is sent. Squarespace handles the signal on haloscore.ai as its own policy describes.
8. Children
HaloScore is a business service and is not directed to children. We do not knowingly collect personal information from anyone under 18.
9. Where we operate
HaloScore is based in the United States, and the information we hold is stored and processed in the United States.
10. Changes to this policy
We may update this policy as our service changes. We will post the new version here with its effective date, keep earlier versions available, and email customers about any material change.
